This MATERIALLY PRIVACY POLICY (this “Policy”) explains how Materially LLC, a Florida limited liability company (“Materially”, “we”, “our”, or “us”), collects, uses, discloses, retains, and protects personal information when you access or use the Materially website, applications, commerce services, artificial-intelligence features, project tools, and related offerings (collectively, the “Services”). This Policy applies to visitors, account holders, Authorized Users of organizational accounts, guests who receive shared-project links, sample requesters, purchasers, and individuals who contact us. It does not apply to information processed by independent manufacturers, carriers, payment processors, or other third parties under their own privacy notices. Materially is a U.S.-based business-to-business platform for commercial interior materials; the Services are offered only in the United States, are not directed to children, and are intended only for users age eighteen (18) or older.
We collect personal information from you, from the Organization or user who invites you, from your transactions and requests, and automatically through your use of the Services. The categories below describe the information we may collect.

We use personal information to operate, maintain, protect, improve, and provide the Services, including to: create and administer accounts and verify professional credentials and organizational access; host, process, and present project content, materials, renderings, and specifications; operate AI Features, including plan understanding, material recommendations, renderings, draft specifications, cost estimates, and compliance pre-screening; process sample requests and orders and arrange shipping, fulfillment, taxes, returns, refunds, and support; communicate with you about account activity, security, requested services, policy changes, and (where permitted) marketing; maintain security, prevent fraud and abuse, debug, and enforce our agreements; generate aggregated, de-identified, or anonymized analytics; and comply with legal obligations and resolve disputes.
Materially uses a combination of third-party and proprietary artificial-intelligence systems to provide the Services, and AI Features may process project content, prompts, selected materials, interactions, and feedback to generate recommendations, analyze plans, create renderings, produce draft specifications, estimate costs, and provide other requested functions. To develop, train, evaluate, and improve Materially’s proprietary vision, rendering, recommendation, and other AI systems, Materially uses uploaded plans and the edits and corrections users make to recognized geometry and other outputs, including through a human-in-the-loop process, and applies commercially reasonable measures to reduce direct identifiers and to aggregate or de-identify data where practicable. Standard (non-Enterprise) accounts are included in these model-development activities, and you must not upload content unless you have the rights necessary to provide it for these purposes. An Enterprise customer may be offered a content-training control under a written enterprise agreement; any such control applies only when enabled and confirmed by Materially and operates prospectively—it does not retroactively delete or remove data already used. Materially uses third-party AI providers, currently Google (Vertex AI / Gemini) and Anthropic (Claude), to provide certain AI Features, and inputs may be transmitted to those providers as necessary to perform requested features. Active AI-interaction data is generally retained for eighteen (18) months, after which it is anonymized or deleted, unless a longer period is required for legal, security, or operational reasons; de-identified data and trained model parameters may be retained where they no longer reasonably identify you or your Organization.
We may disclose personal information: to service providers and subprocessors that process information on our behalf (see the list below); to our fulfillment and product-sourcing vendors and to manufacturers, suppliers, distributors, and logistics partners when necessary to provide a requested sample, quote, order, direct shipment, or support; to analytics and advertising partners as described in the Cookies, Analytics, and Advertising Section and the Cookie Policy; to people or organizations you authorize, including project collaborators and recipients of a secure share link or the public lookbook; to professional advisors, insurers, auditors, and government authorities where reasonably necessary for legal, tax, security, or compliance purposes; in connection with a merger, financing, acquisition, or sale of assets, subject to appropriate protections; and with your consent or at your direction. We may also disclose aggregated, de-identified, or anonymized information that does not reasonably identify you, such as category-level or market-level specification or demand trends shared with manufacturers. Our current service providers and subprocessors include: Google Cloud / Vertex AI (AI models for the design assistant, embeddings, vision, and image generation); Anthropic (Claude, used by the floor-plan recognition worker); Supabase (database, authentication, and file storage); Shopify (catalog, cart, hosted checkout, payments, and tax calculation); our subscription billing provider; Resend (transactional email); Sentry (consent-gated error monitoring); Upstash (rate limiting); Vercel (application hosting and content delivery); and a self-hosted worker host that runs background enrichment, rendering, and plan-extraction jobs. Providers may change as our technology stack evolves.
We and our providers use cookies and similar technologies for essential functionality (such as sessions, authentication, and saving your cookie preferences) and, only with your consent, for analytics and advertising. With your analytics consent, we use Google Analytics, which shares product-usage data with Google. With your advertising/marketing consent, we use a Google Ads conversion-tracking and remarketing tag, which shares online identifiers, device information, and usage data with Google for cross-context behavioral advertising. Under some U.S. state privacy laws, this advertising activity may be considered a “sale” or “share” of personal information. We do not sell personal information for monetary consideration. You can control these technologies through our cookie preference center, which is set to deny non-essential cookies by default, and we honor recognized opt-out preference signals, including Global Privacy Control. Our cookie practices are described in detail in the Materially Cookie Policy.
We retain personal information for as long as reasonably necessary to provide the Services, maintain your account and workspace, fulfill orders, comply with legal and financial obligations, resolve disputes, prevent fraud, and maintain security. Account and active-project information is generally retained while the account or project remains active. After account termination, we generally provide a thirty (30)-day retrieval period before deleting or de-identifying active account content, subject to backup cycles, legal holds, security investigations, and tax and accounting obligations. AI-interaction data is generally retained for eighteen (18) months and then anonymized or deleted; project renderings are generally retained for the active project duration plus twenty-four (24) months after project closure and then archived or deleted; and routine backups are cycled on our infrastructure provider’s default schedule (currently approximately thirty (30) days). Order, payment-related, tax, and shipping records may be retained longer as required by law or legitimate business needs.
Materially uses administrative, technical, and organizational measures designed to protect personal information, including encryption in transit (with HSTS and a security-header suite) and encryption at rest through managed infrastructure, role-based access controls, row-level security on user-data tables, authenticated (HMAC-verified) webhooks, per-endpoint rate limiting, secret-management practices, dependency and vulnerability monitoring, and controls designed to reduce personal information in diagnostic tooling. No method of transmission or storage is completely secure. You are responsible for protecting your credentials, using appropriate account controls, and promptly notifying us at info@materially.studio of suspected unauthorized access.
Depending on your location and applicable law, you may have the right to request access to, correction of, deletion of, or portability of certain personal information; to opt out of certain processing, including the sharing of personal information for cross-context behavioral advertising described above; and to appeal a decision concerning your privacy request, and you may have the right not to be discriminated against for exercising these rights. You may opt out of advertising-related sharing at any time through our cookie preference center and by enabling Global Privacy Control. To submit any other privacy request, contact us at info@materially.studio; we may verify your identity and authority before acting, and authorized agents may submit requests where permitted by law. You may delete project content where the Services provide that function, and you may request deletion of your account and associated personal information by contacting info@materially.studio. If we deny a request, you may appeal by replying to our decision with the subject line “Privacy Appeal.”
This Section provides additional information for residents of U.S. states with applicable comprehensive privacy laws, including California, to the extent Materially is subject to those laws. Materially is an early-stage business and may not currently meet the applicability thresholds of every such law, but provides this notice for transparency. The categories of personal information we collect, the purposes for collection and use, the categories of recipients, and our retention criteria are described above. We disclose identifiers and contact information, professional information, commercial and transaction information, internet and device activity, visual and project content, and inferences for the business and commercial purposes described in this Policy. As described in the Cookies, Analytics, and Advertising Section, we share online identifiers and internet/device activity with Google for cross-context behavioral advertising; we do not sell personal information for monetary consideration; and we do not knowingly sell or share the personal information of individuals under sixteen (16). Where required, we provide the right to opt out of such sharing through our cookie preference center and honor Global Privacy Control. This Policy serves as Materially’s notice at collection to the extent required by applicable law.
Materially operates in and offers the Services only within the United States, and personal information is processed in the United States. Materially does not currently target or knowingly accept users outside the United States; if Materially expands to other regions in the future, it will implement appropriate safeguards and provide any additional notices required by applicable law before doing so.
We may update this Policy from time to time by posting the revised version with a new effective date, and may provide additional notice when required by law or when changes are material. Your continued use of the Services after the effective date of an updated Policy is subject to the updated Policy, to the extent permitted by law.
